Inter-Library Loans: Home

A guide to requesting an Inter-Library Loan.

If you need to consult an item for your studies or teaching that Bradford College Library Services doesn’t give you access to either physically or electronically it is possible to request a copy of the item using the Inter-library Loans service.

We use the Inter-library Loans service to ask the British Library to lend us a copy of a book, which we then let you borrow or in the case of a journal article make a copy of the article you wanted.

Who can request an Inter-Library Loan?

If you are a member of Bradford College, you can request an ILL, as long as it relates to the subject area you are either studying or teaching at the College.

If you have any overdue books or outstanding fines you will be asked to deal with these matters before you make any ILL request.

If you registered as a Distance Learner with the Library you may only request Journal articles as Inter-Library loans.

You are allowed to have up to five ILL requests ongoing at any one time.

In order to request an item using the online ILL service you will need to access the moodle course which will require you to login and enroll onto the course.

What can be requested as an Inter-Library Loan?

An ILL can be either for a book or journal article.

  • If a request is made for a book then it will be sent out from the source Library to the College Library and then issued to you.
  • If a request is made for a journal article then the library will be provided with a photocopy of the article which will then be given to you.

Any books or articles requested as an ILL must be for items which you are unable to access from the Library, either as a physical or electronic resource. We will not make an ILL request for an item because it is out on loan. Please refer to the Book tab for more information on ILL requests for Books.

If there are two articles you requite from the same issue of a journal then you will need to make a request for journal using the Book Request form as multiple requests from the same issue is not allowed. Please refer to the Journal tab for more information on ILL requests for Journals.

How much does an Inter-Library Loan request cost?

For the first ten ILL requests made there will be a £2.00 charge for each, whether it is for a book or a journal article. This amount will be added to your Library account once the request has been made.

If you wish to renew a borrowed book Bradford College Library Services will charge you £5.00 for each successful renewal.

If you have previously requested ten ILLs within an academic year then the charge for additional requests will be £15.00 for a book request and £12.00 for a journal.

If you do not collect any of your initial 10 ILL requests then an additional charge of £13.00 will be added to your Library account to cover the costs of processing the ILL.

For any requests after your first 10 requests you will be charged the full cost of your Inter-Library Loan. This will be the £2.00 request fee and  an additional £10.00 for a journal article and £13.00 for a book. This additional fee will be added when the item arrives.

Any charges relating to ILLs will be added to your Library record and can be checked by logging into your account on the Library Catalogue. You can pay these charges using the self-service machines located in the Library.

The Library use this charging structure because it is charged for every request it makes, even if those requests are not successful.
This charging structure is intended to allow Members of College to be able to order a reasonable number of ILLs throughout the academic year at minimal cost, with the Library initially subsidising the majority of the fee for the first 10.
We want to encourage the use of the ILL service we wish to ensure that it is used productively and help ensure that only items which are essential are requested.
Library reserves the right to withdraw the ILL service and to change the price structure without prior notice.

How to request a book?

If a book you require is not available in the Library then you may want to request it using the Inter-Library Loan service.

In order to request an item using this service you will need to submit a form. There is an online form which is available from the Inter-Library Loan Moodle course, to access the course you will need to login to Moodle and enroll your self on the course.

Once you have accessed the course you will be able to request an ILL by completing the book request form.

When you submit the form, it will be sent to a librarian to be checked.

If we find any of the information is incorrect, or we can cannot identify the book you require, we will contact you by your College e-mail account.

Once we have checked all the information is correct and that it is held by the British Library for Remote Supply we will order it.

If the British Library are able to supply the item to us then it will usually be made available on an initial 4 week loan.

How do I know if the British Library has the item I want?

Bradford College Library service will only borrow items for Inter-Library Loan from the British Library. If you want to see if the book to request is available for Inter-Library Loan from the British Library.

How long does it usually take a book to arrive?

A requested book will usually arrive at the Hockney Library within two working weeks. We cannot guarantee this time though as we are reliant on the British Library to provide the items.

How will I know when my ILL book has arrived?

Bradford College Library Services will e-mail you as soon as your book arrives. This e-mail will be sent to your College e-mail account.

Please check your College e-mail regularly after you have made your request as if an item is not collected we charge a fee to cover administration costs.

Where do I collect the ILL from?

Once you have been notified that your ILL has arrived then you can collect it from the Library Enquiry Desk on the ground floor of the David Hockney building.

There usually be a member of Library staff on the desk throughout the day and they will be able to issue you the book.

How long can I keep my book?

The standard loan period for an ILL is 4 weeks which begins from when we confirm it's arrival.

We recommend you regularly check to see if the ILL has arrived so you can promptly collect it.

Can I renew my book?

If you wish to extend the length of loan for your ILL then you will need to submit a request before the given due date.

It is recommended a request is made at least two days before the due date as we have to contact the books supplier and have any loan extension agreed.

Renewals of ILL cannot be guaranteed, as the books are not our property, and the supplier does not need to give a reason for their decision.

There is a renewal charge of £5.00 which will be added to your Library Account when the renewal is successful.

Where do I return my book when it is due?

Please return your item to the Library Enquiry Desk when it is due back and do not return it using the self-service kiosks.

What if I fail to return my ILL on time?

If you fail to return any ILL on time you will be charged a fine of 50p for everyday it is late.

If you retain the item for a week after it is due then you will be blocked from borrowing any further items from the library and from renewing any items you have on loan.

If you lose the ILL, or if it becomes very overdue, the book will be declared lost and you will be expected to prove a replacement for it.

Any charges would include the cost for the item plus an administration fee, which would be set by the British Library (or supplying institution) and would be non-refundable should the book be returned at a later date.

How to request a journal article?

If you require a article from a journal that is not available in the Library electronically or physically, then you may want to request it using the Inter-Library Loan service.

In order to request an item using this service you will need to submit a form. There is an online form which is available from the Inter-Library Loan Moodle course, to access the course you will need to login to Moodle and enroll your self on the course.

Once you have accessed the course you will be able to request an ILL by completing the book request form.

Once we have checked all the information is correct and that it is held by the British Library for Remote Supply we will order it.

If the British Library are able to supply the article it will be sent to us as a photocopy and you can collect it from the Library Information Desk.

You can only request a single article from an issue of a journal. If you want multiple articles from the same issue you will need to request the entire issue using the book Inter-Library Loan form.

Any complete journal requested by Inter-Library Loan will be for reference and will only be available for consultation in the David Hockney Library.

Requesting a Thesis or Dissertation.

If you would like to access a Thesis or Dissertation you must personally request it directly from the British Library using their EThOS service.

Ethos E-Theses online Service

EThOS is freely available to search but you will need to register if you wish to request or download any theses you wish to look at.

There is no cost if what you require has already been scanned and is identified as readily available. There may be alternate delivery options available but these may have a cost attached and the dispatch and delivery period may vary.

If the item you require has not yet been scanned then there may be a cost attached to any request. The scanning costs will vary from item to item as it will be dependent on the source institution. The speed of the item's availability may also be interminable as the suppling institution will have to digitise the item before it can be distributed.

There may be some theses which are not available from an institution through EThOS but instructions on how to make a request for these will often be provided.
